What is MailMarshal SMTP?
MailMarshal SMTP is a total email management solution for filtering, spam, attachments, archiving, phishing and compliance.

In fact, there is virtually nothing that you cant do with MailMarshal SMTP.  If it is in an email MailMarshal SMTP can monitor, log, quarantine, block and archive it.

MailMarshal SMTP sits at the perimeter of your network, sending and receiving email from the Internet. It works with , and complements internal email systems such as MS Exchange Lotus, or Sendmail.

On it's way in and out of your network, MailMarshal scans the content of ALL email, and the email is then checked against a set of rules that you define.

MailMarshal is so much more - but in its simplest form MailMarshal stops email borne spam, viruses and ALL inappropriate content coming into your network, and stops confidentiality breaches, data leakage and inappropriate email content leaving your network.


Can MailMarshal SMTP Stop Spam & Phishing Attacks?
Absolutely. MailMarshal is an extremely effective solution to combat all forms of spam and phishing by using a combination of techniques.

Typically you can expect a 99% reduction on spam right out of the box. With a highly hardened ruleset (see Softek's Spam Rule Hardening Service) this figure has been increased to as high a 99.9% with less than 0.01% false positives (and decreasing).

How fast and scalable is MailMarshal SMTP?
Lightning fast and infinitely scalable.

MailMarshal SMTP performs exceptionally well straight out of the box on average hardware. It is one of the fastest (if not the fastest) email content filter on the market today - typically outperforming other products by a factor of 5-10 times !

MailMarshal's actual maximum performance will obviously depend on the usual hardware and bandwidth restraints, but we have customers running MailMarshal with millions of emails in and out every day.

Actual recommended spec may vary, but as an indication;

A regular P4-1.8Ghz with 512MB of RAM and an 20GB IDE disk running MailMarshal SMTP, McAfee, Sophos or Norman DLL virus scanners will support up to 5,000 users.

A Dual P4-2Ghz with 3x18GB RAID 5 SCSI disks can exceed email traffic throughput of 2 million messages per day- enough for tens of thousands of users.  A cluster of nodes can process an unlimited number of emails.

Therefore ANY modern PC or server will happily run MailMarshal for a significant amount of users without any problem at all.

In addition any number of MailMarshal "nodes" can be deployed. They can all share the same, automatically updated configuration, and share the mail processing load so there is no single point of total email failure.

Also a new MailMarshal SMTP appliance - the e10000 is now available.  Softek have tested this appliance performance at handling in excess of 2 million emails a day....

Yes. Uniquely MailMarshal SMTP delivers full, configurable DoS and DHA protection.

Can MailMarshal Archive all my email ?
Yes. MailMarshal can easily be set to archive all messages both in and out.

The archive is fully searchable (permissions permitting of course) and you can archive email for any time period you care to specify.

You may however want to look to a fully compliant, encrypted, tamperproof email archiving solution.  Softek recommend Ziplip - our onsite solution, or Global Relay - a hosted solution.


Can I find out / report on what my users have been sending and receiving?
Absolutely.

MailMarshal SMTP logs all email activity to a standard SQL format database. Out of the box dozens of reports are provided at no extra cost which give complete details on user activity, spam count, viruses received, bandwidth used and many others.

Using industry standard reporting tools (such as Crystal Reports) reporting options are limitless. *Note* Crystal Reports must be purchased separately.


Why do I need MailMarshal as well as desktop anti-virus?
MailMarshal provides many advantages which cannot be delivered by an anti-virus product alone.

As an email server based product, MailMarshal unpacks and scans email content and attachments before they reach the desktop (or even the corporate email server).

As a Content Security product, MailMarshal can scan the text of messages and block or redirect inappropriate content. Standalone Anti-Virus products (even the ones that run on email servers) can't do that.

MailMarshal can also detect, block and strip email of all dangerous attachments types - such as EXE, PIF and COM files. It does so by scanning the file type - NOT simply the file extension as many products do. Therefore an EXE file renamed to .DOC for example would still be blocked.


How do I limit potential email failure with MailMarshal?
With MailMarshal you can install any number of mail processing "nodes" - potentially with multiple MX records and different external IP addresses.

These all can share the same configuration (updated automatically of course). As well as balancing the email load, running multiple nodes allows you to route email to functioning nodes automatically.

Therefore if one node is down, another node will accept mail on it's behalf until it is up again.

MailMarshal is now available as an appliance for even easier deployment to multiple locations.


What virus scanner works best with MailMarshal?
MailMarshal itself isn't a virus scanner. However it can "call" any number of third party scanners to check email attachments.

DLL based virus scanners are best. They provide the highest scanning speeds, report virus names, and also support cleaning.

DLL based scanners can operate about 10-30 times faster than regular "command line" scanners (because they don't have to load each time they are used).

Currently supported high speed DLL scanners include Marshal Integrated McAfee, Norman, and Sophos.

Can MailMarshal Clean Viruses from Emails?
MailMarshal itself doesn't clean viruses - however it can invoke selected DLL based virus scanners (detailed in the previous FAQ) to clean infected attachments.

*Note* Softek do not recommend virus cleaning as data integrity can never be 100% assured.

Optionally MailMarshal can strip virus infected email attachments while (again optionally) continuing to allow the body / text of the email through.

Will MailMarshal run on a Windows Cluster?
Yes. MailMarshal is fully ready to be installed in a Windows Cluster environment.

What format / which database does MailMarshal log data ?
MailMarshal SMTP utilises Microsoft SQL 2000 or higher (including 2005 and SQL Express).

If full version MS SQL is not available on your site then the free, cut down version of SQL (called MSDE or MS SQL Express) can be used. MSDE is bundled with MailMarshal installation files.

MSDE 2000 has some limitations (which are generally not a problem for average customers)  SQL Express 2005 limitations are somewhat different - contact Micrososft for advice.

* MSDE 2000 Max database size is 2GB
* Max of two processors
* Limited to 8 concurrent executing operations per instance
* Max of 32,767 connections, 32,767 databases per instance, 16 instances per server
* Only uses up to 2GB of RAM
* Does not include Enterprise Manager GUI (but you can still use enterprise manager to manage a MSDE database)

Can I run MailMarshal SMTP on my PC at home?
Sorry, no. MailMarshal is designed for businesses or other organisations as an email gateway for multiple users. It runs as a Windows 2000/XP/2003 system service on a server or dedicated workstation. It is not designed for home use.

Can MailMarshal SMTP encrypt / decrypt email?
Yes. MailMarshal has an optional S/MIME encryption module "MailMarshal Secure" that can encrypt and decrypt messages automatically. It is server based and totally transparent to end users, providing a key manager to automatically encrypt messages to specified organisations with the appropriate key. The encryption is rule based, and operates in a very similar manner to the content filtering rules.

Since MailMarshal SMTP version 2006, support for Transport Layer Security (TLS) is also built in. The TLS protocol provides communications privacy over the Internet. The protocol allows client/server applications to communicate in a way that is designed to prevent eavesdropping, tampering, or message forgery.


Can MailMarshal SMTP/Secure scan the content of encrypted email messages?
Yes. MailMarshal SMTP with MailMarshal Secure can apply your content filtering rules to S/MIME encrypted messages (provided that it has the appropriate keys).

Can MailMarshal SMTP 'park' or delay oversized email messages until the end of the business day?
Yes, MailMarshal has this capability. Management can set maximum size limits for outgoing email messages to ensure that large, non-business emails do not disrupt network performance or cause delays in sending business email messages during peak business hours.

MailMarshal can also calculate the total bandwidth required to send a mass mail out that may also reduce network performance. For example, total bandwidth for a single message during business hours could be limited to 5MB.

A newsletter message of 10Kb to 1000 customers would total 10MB. MailMarshal would detect that this message would exceed the bandwidth allocation and park the message until the close of business.


Can MailMarshal recognise file types if the file extension has been changed?
Yes, MailMarshal identifies all files by their characteristic signatures and NOT solely on extension, so renaming file extensions does not fool MailMarshal.

Even files embedded inside other files are not a problem - so for example inserting an EXE file into a DOC file will not bypass MailMarshal!

Ive bought MailMarshal SMTP how do I get a permanent licence key?
Chances are you have already got the product installed. If not, download a trial copy from this website and install / configure it to your needs.

Once installed and configured, open the configurator, go to the Licence Details tab, and click on "Request Key". Enter support."at".softek.co.uk in the Distributor field, fill out the contact details and click send.

Your permanent key will be emailed to you generally withing 48 hours. If you need a copy or other assistance with licence keys please contact us.


What happens if my trial licence expires and I havent had time to evaluate the software properly?
If the 30 day trial license key expires, email sending and receiving is not affected - mail still flows through MailMarshal. However, MailMarshal will no longer apply your filtering or virus scanning rules to the messages. Rule processing will be re-activated when a valid key is inserted.

ms office 2007 Can MailMarshal block certain file types / attachments?
office 2007 Yes, MailMarshal can identify over 200+ different file types by the internal characteristic signature of the different file types. Additionally, MailMarshal can block files by the file name or type extension (e.g. .EXE, .VBS, .MPEG, .MP3, etc).

MailMarshal also has the ability to ‘strip’ attachments from messages, allowing only the message body to pass through to the intended recipient. MailMarshal can automatically stamp a user-defined message to the top of the email message informing the recipient that a file has been removed.

MailMarshal can also block messages based on the number of attachments or recipients. For example, if your organization sets 10 attachments as the maximum permissible number, any messages containing more than 10 attachments will be blocked or quarantined.

Can MailMarshal SMTP filter Office 2007 documents?
Yes, MailMarshal SMTP v6.4 and higher supports Office 2007 documents.

Can MailMarshal block messages or particular attachments to selected users, but allow other users to receive them?
Yes.

MailMarshal can apply rules to the entire organization, particular departments, selected groups of users or even one user. Examples of rules that may be used in these cases are:

Whole Company: ‘No user may receive messages larger than 10Mb’ or ‘No user may receive messages containing .EXE attachments'.

Department: ‘Only MARKETING may receive .MPEG attachments’ or ‘No department is allowed to receive .EXE attachments, except IT DEPARTMENT’.

Group: ‘Only MANAGERS may send confidential document ‘TOP SECRET.DOC’ or ‘No user in Group ‘PROBLEM USERS’ may send or receive emails larger than 1Mb or attachments other than .XLS and .DOC’

Individual User: ‘Block all messages from SPAMMESSAGES.COM unless addressed to PERSON@MYCOMPANY.COM’ or ‘Block all messages from PROBLEMUSER@MYCOMPANY.COM to domain COMPETITOR.COM’.


Can MailMarshal keep a copy of all incoming / outgoing email for archiving purposes?
Yes, MailMarshal can be set to archive all messages, or any group by sender, recipient, size, etc.

You simply define a rule to copy the messages to a folder you create (‘Outgoing’ or ‘Archive’ for example). Additionally you can set that folder to automatically create new subfolders on a set schedule; or you can set the folder to delete all messages older than a certain date (90 days for example). MailMarshal automatically logs information of message source, destination, subject and attachments by default.

You may however want to look to a fully compliant, encrypted, tamperproof email archiving solution.  Softek recommend Ziplip - our onsite solution, or Global Relay - a hosted solution.


Can MailMarshal restrict the sending of email to some companies (e.g. important customers), so that only selected senior staff can talk to them?
Yes.

Can MailMarshal keep track of SMTP usage for internal billing purposes?
Yes, MailMarshal keeps full log file information in its database to track bandwidth usage. Report are available to supply billing information.

Is the licence number based on the number of users or the number of email addresses?
MailMarshal is licenced by the number of people who can send mail through it. If an internal user can cause mail to route via MailMarshal they require a licence.

mailmarshal exchange 2007 What Operating System (OS) does MailMarshal SMTP run on?
exchange 2007 Since MailMarshal SMTP, v6.4+ now requires the following OS; 
  • Windows Server Standard or Enterprise 2003 with or without Service Pack 1 (with latest security updates)
  • Windows XP Professional Service Pack Service Pack 1 or Service Pack 2 as a domain member (with latest security updates)

Previous versions of MailMarshal SMTP 6.2 can run on Windows 2000, XP Pro SP2, or Windows 2003.

A version of MailMarshal SMTP is available for running on NT4, and while it runs perfectly well it is no longer being updated or developed.

Running any version of MailMarshal SMTP on Vista or 64bit Windows is not supported.

Please review all the hardware / software requirements provided in the release notes prior to installation.


Does MailMarshal SMTP support Exchange 2007?
MailMarshal is a gateway product and so does not "care" which mail system it talks to - as long as it talks SMTP.

Therefore MailMarshal SMTP will work perfectly well with ANY standard SMTP Mail system - including Exchange 2007, 2003, 2000, Groupwise, Mdeamon, Sendmail etc.etc.

The only caveat is that Exchange 2007 runs on 64bit Windows only, and MailMarshal cannot be installed on 64bit Windows.  So you cannot run Exchange 2007 and MailMarshal SMTP on the same machine.


Does MailMarshal support both MIME and UUencoded attachments?
Yes. MailMarshal unpacks messages in either format and identifies over 150 attached file types by both the file code and the extension name.

Can MailMarshal find executables and other attachments if they are hidden in zip archives or misleadingly named?
Yes. MailMarshal recursively expands zip, rar and other archives and scans all files to identify them by content where feasible, rather than just by name extension.

Can MailMarshal notify administrators by e-mail when certain rules are violated?
Yes. You can also choose to notify the sender and/or the intended recipient. You can customize the notifications for each person and/or customize the message based on the type of rule violation (virus, profanity, oversized message, etc).

Will MailMarshal SMTP work with my Firewall?
Yes. MailMarshal SMTP is a complimentary product to traditional firewalls.

You can be running ANY firewall - as long as you can open port 25 for SMTP mail traffic.


Can MailMarshal add legal disclaimers or other message stamps automatically to all outgoing emails?

Yes. This feature is called 'Message Stamping'.

You can automatically add a legal disclaimer, product branding or company particulars to all outgoing messages, or to messages from selected users.

Custom Message Stamps can be created within MailMarshal using HTML or plain text. Disclaimers can appear at the head or foot of an email.


If I exceed my licence count, will MailMarshal stop working?
No, MailMarshal will continue to accept email and apply your rules. You will however be reminded by email that your usage count had exceeded the licence count.

Will MailMarshal SMTP work with my existing Mail Server?
Yes. MailMarshal filters SMTP (Simple Mail Transfer Protocol) traffic. It will work with any mail server which uses this standard protocol. If MailMarshal is installed on a stand-alone machine in front of an existing mail server, the installation is completely transparent to the other software. Alternatively, MailMarshal can be installed on the same machine as another mail server and act as a front-end . A few examples of mail servers that MailMarshal works with:

MS Exchange (all versions)
Lotus Notes
Mdaemon
Groupwise
CC Mail
SendMail
Pegasus Mail
And anything else that sends and receives SMTP / POP mail...
